AI in the organisation: working together to clarify the process

AI has now become part of everyday life in many organisations and is being used without there being any common rules, a shared approach or clear guidance. We help organisations to overcome this uncertainty: through a participatory process, we work together to develop guidelines for the conscious and practical use of AI.

Who is it for?

This initiative is aimed at organisations that are already using AI or wish to introduce it, and who want to establish a common framework for doing so.

Key elements of our offering

Depending on your needs, we will work on one or more of the following elements. These can be booked individually. We generally recommend starting with the needs assessment.

Assessing the situation

Where do we stand today? What is currently in use, what works, and where are the issues? We provide clarity on the current situation as a starting point for the process.

Understanding & reflecting on AI

What lies behind AI? From a technical, social and ethical perspective? How does AI work, why is it so controversial, and what does this mean for our work? We explain it in simple terms, try things out together and create space for critical discussion.

AI guidelines

How do we approach AI? Waiting for regulatory guidelines is not a strategy. Together, we are developing context-specific guidelines – practical and designed to be used in everyday work. We are working on four levels:

  • Attitude: What role should AI play in our organisation? What values guide us?
  • Rules: What is permitted, what is restricted, and what are the red lines? Clear, transparent agreements on tools and data protection.
  • Practical application: Real-life examples help to illustrate what the guidelines mean in everyday practice.
  • Governance: Who decides on new tools, and who updates the guidelines? Who is the point of contact for inquiries?

Practical Guide

How do the guidelines work in practice? The practical guide translates the guidelines into specific dos and don’ts, serving as a living document that is continually updated with new examples, scenarios and real-world experiences.

How we work

The process is tailored to the organisation’s specific circumstances.

An example: The process for developing AI guidelines at OKJA Basel comprised three steps.

  • Assessment & Setup
    Getting to know each other, identifying needs, introducing the topic, and defining the objectives and format of the output. What must the guidelines cover? What makes your organisation unique?
  • Iterative development
    Developing content in working groups, discussing specific use cases and drafting the guidelines
  • Formulation, finalisation & implementation
    Refining and finalising the results. Clarifying how implementation might look in day-to-day practice.
